Printers are unreliable by reputation and often by design — sold cheap, monetised through ink. Before you rage-quit or buy another £80 inkjet, run this checklist. Most "printer offline" issues resolve in under ten minutes.
Universal fixes (try in order)
- Power-cycle printer and router — wait 60 seconds between off and on.
- Remove printer from Windows Settings → Printers; reboot PC; reinstall from manufacturer app (HP Smart, Epson, Canon) not generic Windows driver.
- USB: different cable and port; avoid unpowered hubs.
- Wi-Fi: confirm printer and PC on same band — 2.4 vs 5 GHz split causes "offline" ghosts.
- Clear print spooler — Services → Print Spooler → Stop → delete C:\Windows\System32\spool\PRINTERS\* → Start.
- Check paper path for jammed scraps; run head cleaning from printer menu if streaks.
Wi-Fi printer stability
Assign static IP via DHCP reservation in router — printers hate changing IPs. Place printer within strong 2.4 GHz coverage; many printers lack 5 GHz radios. Disable aggressive sleep modes that drop Wi-Fi chip. Firmware update from manufacturer if available.
Driver hell on Windows 11
Windows Update drivers sometimes wrong — download exact model from support site. "Universal" drivers miss duplex and colour calibration. For networked office printers, IPP or WSD discovery — pick IPP if IT recommends.
When to replace vs repair
If ink costs exceed printer price yearly, switch to laser for text (toner lasts longer) or print-at-shop for rare colour. Tank printers (Epson EcoTank, HP Smart Tank) lower per-page cost if you print volumes. Consumer inkjet at clearance price still expensive to run.
